The WSM Contract Management module will effectively manage the accurate recording of all Contract details and documents as well as manage the many critical dates that are a result of this activity. The management of these dates are often costly when they are missed and thus this feature alone can pay for the WSM Contract Management module in its first few months.

 

The WSM Contract Management module has been created for organisations who are looking to manage and provide effective administration for their Contract Management process via WSMplannet. Some of our existing clients were managing their contract information on spreadsheets or on home developed systems which are not intuitive enough to raise flags when critical dates or actions are to be addressed.

 

The solution has been designed to simply adapt to upgraded technical environments and to the ever changing needs of the facilities management market. The state of the art technology and the flexibility of this design means that the WSM Contract Management system can either be a stand alone application or it can seamlessly integrate with other WSM modules such as to Asset, Works, Room Event Management, Visitor Management, Property Lease Management, Vehicle Management or Space Management. Should clients already have these solutions in place, this system can share data with other existing (non WSM) corporate systems so our clients do not need to change their current business rules or processes.

 

Some of the functional aspects of the Contract Management module are:

· Managing new contracts

· Managing existing contracts

· Managing contract types and classifications

· Monitoring and managing critical dates in each of the above functions

· Managing scanned documents related to specific contracts

 

Workflow Process

In the Contract Management module when a new contract is created the status of the contract goes through a workflow process from going out to tender, managing the life of the contract then reviewing and renewing contracts. This makes it easy for staff and management to track contracts as they proceed through this process.


Email Notifications

There is also a number of automatically generated notification emails sent to the notify person when the expiry dates in Expiry Notification tabs are expired. When the escalation Notify Date is expired the notification is sent to the person who the Notify person reports to.

WSM Contract Management can store vital documents relating to specific contracts within the system. These can be quickly retrieved in just a few short steps. Store any kind of Document (Word, CAD Plans, Pictures as JPG/GIF/etc, Excel Spreadsheets, Email Correspondence, etc) in the database. 


Reports

Reports relating to contracts can be easily generated with all contract fields able to be included; by type and/or by status, owner, site, dates, and supplier.


Data Export

The Contract Management module has the ability to export information into Excel so that a list can be published on SharePoint. The information included in the list are contract number, contract name, supplier, expiry date, owner, type and status.
