WSMenterprise 4.6 Upgrade

The newest upgrade to the WSMenterprise software has just been finished and will be deployed to our clients over the coming months. The most exciting feature of the upgrade is the brand new Contract Management module. Accessed via WSMplannet the new module allows clients to manage their contracts through the entire workflow process, from going out to tender, managing the life of the contract, to reviewing and renewing contracts. A number of enhancements and fixes for a number of our modules have also been included in the upgrade.

FM-Works Enhancements

Non-compliant assets

Non Compliant Assets can be accessed via WSMenterprise under Assets. This lists all the non compliant assets and the outstanding work orders associated with these assets win the asset tasks. These non complaint assets can be changed to active assets by selecting an asset and clicking the Reset to Active button.

Added alter jobs functionality to edit closed or completed work orders

Some fields of a closed or completed job can be modified using the Alter Job button within the Work Order List.

To Alter the Job:

  • Click to highlight the Work Order to be modified
  • Click the Alter Job button
  • Reason for Job alteration has to be entered in the Job Alteration Reason pop up box
  • Click Continue to modify the work order or cancel to abort the operation

Log entries can be added to closed work orders

Log Records Work Orders which are Closed
New log entries will appear in Work Orders Log when the status Closed is selected.

Cancelled jobs can now be printed or emailed

Now the cancelled Work Orders can be printed or emailed.

Accreditation Types can now be made site specific and system wide

  • System wide accreditation types can be added on the System Configuration Settings form.
  • Apply Accreditations which are Site Specific.
  • Accreditation Types can be made site specific on the Accreditation Type edit form via Administration>Reference tables>Accreditation. These site specific accreditations and system wide accreditations can be added to the site by clicking on the Add button on Site Specific Accreditations tab on Edit Site form. A work order cannot be assigned to a supplier if that Supplier does not have all Specific accreditations or System wide accreditations. These accreditations can be added to the assigned Supplier from the Edit Supplier form.
  • An Expiry Warning will appear on the Work Order when saving depending on the renewal date and the expiry Months.


Increased the amount of allowable characters for Supplier Name on the supplier screen


Supplier Browse

Improved security now allows a new activity called Supplier Browse. This can be added to your Security Groups which will then enable others to only view the Suppliers. This applies to WSMenterprise, WSMindustrial and WSMplannet Users.

Interested Party on Contact List

If the Contact is an interested party and the interested party is unchecked on the contact edit form then a warning message will pop up if that interested party is referenced on work orders/planned jobs.

Personal Asset

An asset can be made personal to the Owner defined asset by ticking the personal asset box on the Asset form. If the asset is a personal asset it cannot be used in the Room Event Management.  If the Owner has moved to a different location, all Assets tagged as Personal will be relocated to the Owner’s new location.


WSM-Plannet Enhancements


Contract Management Module

A new module has been developed and added to WSMplannet which allows users to manage their contracts through a workflow process from going out to tender, managing the life of the contract, then reviewing and renewing contracts.

 

Document Library

A new keywords search text box is added on the document search screen.

Clicking on the Description field Document information screen opens where Physical storage location and Keywords can be added/edited. The Physical storage location is where the physical copy of the document is stored (e.g. “Filing Cabinet 101”).The keywords will be defaulted to a list of words based on where the document is being added. To view the document Filename field has to be clicked.

The document information screen can also be edited by highlighting the document and clicking on the Edit Document Information Button.

 

FM-Works

The Work orders which are of status 'Work In Progress' can be 'Delayed' using the Delay button. The Delay button will be visible only if the user is 'Assigned Supplier' or 'Assigned Employee' for that Work Order. The reason for the delay has to be entered and then the save button is to be pressed to delay the work order.

 

Vehicle Management

Added contact details of the created by and for person on the Voucher Request form

Vehicle Incidents

Incidents button on the Vehicle booking page will be visible only if the status is Keys Taken or Completed. Clicking on the incident button opens Incidents edit page where details of any incident associated with the vehicle (accident, theft, fault part, ticket etc) can be recorded. And the document related to this incident can be uploaded.

Fuel Card import

An import button is added on Reference Data Fuel Cards to import the Fuel card details from the CSV file.

Configuration Settings

Now user can add policies under Additional Information on Configuration Settings page which will be appearing on the Vehicle Log sheet.

 

Sustainability

Modified functionality to record the meters (for electricity, water, Gas and Bandwidth) and sub meters for each site.

Added expenses Tab on Usage data to list the expenses.

 

FM-Property Enhancements


Added Leased Area for Leases which are not subleases

  • To add a Leased Area
  • Click on Edit button in the leased Area
  • To add a Leased Area select the areas and Click Save
  • Click Add Area to define new Area and Click Save

Added Green Lease Information

If the Lease is a Green Lease this can be specified on Additional Information tab on the Lease from.

Included Areas/Tenants and Area Details on properties

Areas/Tenants on Property

The Lettable Areas tab lists the leased areas on a property, showing the percentage leased for the selected area on the right hand side. The tenants tab lists all the tenants.

Area Details on Property


The Area Details on the Property Details tab shows the Net Lettable Area, Gross Area, Land Area and Parking Spaces. For the Net Lettable Area and Parking Spaces it shows the percentage leased and the available remaining.

 

WSM-Invoicing

This application generates Invoices from the expenses entered in WSMenterprise and it is also used to create Credit Notes against a Posted Invoice. 

Credit notes are created for those Invoice transactions that has been posted or imported to Clients TechnologyOne’s-FinanceOne (finance application database) but then the user would like to credit the Invoice back to client because of discrepancies.

The user can generate an invoice by selecting either:
•    Simple Invoice - one invoice number for each expense
•    Batch Invoice - one invoice number for multiple expenses selected
•    Lump Sum Invoice - one invoice number for selected Schedule of Rates
defined per client/client contract instead of Expense

It is also designed to import Invoices and Credit Notes directly to FinanceOne table.
