Record Keeping for Fire Safety Maintenance

It is not only highly advisable to keep records of all maintenance on essential safety measures, but in some states it is a legal requirement for the owner or occupier to do so. The table below shows specific requirements for record-keeping in each state.

A well organised copy of the records should be kept together in an accessible location in the event that the site is audited by local council, the fire brigade, other regulators or insurance surveyors.

Buildings which are being maintained under the current standard AS1851-2005 may keep maintenance records in electronic form only, but must make hard copies available to authorities. However, buildings maintained to earlier standards do not necessarily have this option. AS1851.6-1997 for example requires a logbook to be provided which is "substantially bound, not in a loose-leaf manner".

Annual Essential safety measures report.

An owner of a building or place of public entertainment must ensure that records of all maintenance checks and any service or repair work carried out to any essential safety measure are available at the building or place for inspection by the municipal building surveyor or chief officer at any time on request after 24 hours notice.

Tasmania

The owner of a building is to keep all records that relate to the maintenance of essential safety measures, undertaken for the last 10 years in a secure place away from the building.

The location and type of each prescribed essential safety and health feature and each prescribed essential safety and health measure is to be included in the record.

A copy of the records is to be kept on site.
