WSMindustrial 

WSMindustrial is the next generation Facility Management software that is focused on tactical and strategic management of an organisation’s infrastructure. WSMindustrial is built for rugged deployment, so that systems with hundreds of user can work with the information to better manage their infrastructure. The early design principles of a simple yet powerful property and facilities works management system have been preserved in this exciting new release.  WSM software was designed by FM Innovations (FMI) in 1997 and implemented at a number of companies with large and complex property portfolios. During this time, and with the benefit of feedback from our clients, FMI has progressed to take advantage of the latest technology in order to deliver improved tactical and strategic management functionality in the areas of Asset management and utilisation, Cost Recovery, Budget and Contract management, OH&S incident recording, room utilisation and policy tracking and policing. 


In the WSMindustrial software, FMI delivers additional user benefits that directly reflect our industry research and customer input into the ongoing development. This release also embraces the technology that will power industry software development into the future to allow WSMindustrial to better deliver both desktop and web based services (through the companion WSMPlannet product) to their user base.  In this version of WSMindustrial, additional fundamental building blocks of recording day-to-day activities in the FM workplace are included. For example activities can be recorded such as OHS incidents, managing quotations, generating Purchase Orders, amortising consumable and general expenses and generating internal labour charges and supplier management.

As well as improving the overall workflow of the process of the works management WSMindustrial also includes Client Contract Management which enables the ability to manage numerous FM clients. There is the ability to customise functions such as schedule of rates, service times (charges per time of day/week), response and resolution times and to apply percentage amounts as part of materials and management fees onto invoices. There are also other modules available including an integrated Room Event Management (REM) system which when tightly coupled with the Work module provides extensive business efficiencies to the organisation.  As a part of the FMI commitment to the Australian Property and Facilities Management industries, new features will be included in the business solution over the next 18 months, and these are designed into the system (not patched on afterwards).  


WSMindustrial technology is the engine-room for gathering day-to-day operational information; and in doing so it provides a systematic and consistent process that promotes a standardised best practice approach to many critical processes that are implemented within the organisation.  Thus WSMindustrial becomes both a catalyst for change and a policy manager of that change, in all aspects of the property and facilities management disciplines. With innovative features like grouping assets by building systems available the Facilities manager can be certain they include all individual assets when refurbishment or relocation projects are being planned and implemented.

 

Works Management

This module was the initial WSMindustrial function and still is a key function but only a part of the overall FM functionality that WSMindustrial delivers.  The FM-Work module provides both Adhoc (emergency) work request management and planned work maintenance. The Adhoc work management provides the capability of servicing user based requests received via email, phone, fax, or verbally as well as those delivered by on our online request system. The planned work capability provides comprehensive scheduling options for preplanned work for all manner of activities. These tasks obviously include all compliance tasks whether they are done by contractors or internal personnel.  FM-Work also has the capability to gather extensive cost and activity data that is then collected, analysed and apportioned to business unit as required.  The FM-Work system provides customer feedback surveys and analysis of these survey sheets. This combined with the email and SMS integration your customers will be happy that you can now keep them informed as to the progress of the work. This is done automatically by the system. The FM-Work system provides many more features to ensure that the management of work becomes a part of your everyday work practices and in doing so taking far less of your time with greater accuracy, than ever before.

 

Contract management (Site Level)

Contract management is a logical extension to Budget management in that it allows individual contracts to be established across the entire organisation and then sub-defined to site level. By doing this, it defines for the work management system, skills and services available at each site and as a consequence the accrual of all work allocated under that contract. Service Level Agreements (SLA’s) and monetary thresholds for each contractor at each site can be analysed quickly and effectively. The addition of Safety certification and accreditation in WSMindustrial for each of the contractors’ employees and the onsite management of this new regulatory regime is an important part of the overall contractor management required by today’s property owners and facility managers. WSMindustrial now automatically reminds the appropriate managers when the contract runs out, in time for them to issue new tenders or renegotiate the existing contract. It also reminds internal contract managers when key Insurances and accreditations which were agreed to as a part of operating the contract are ready for renewal and then need to be sighted by the customer.

 

Asset Management

This module provides a very powerful asset register with both easy definition and direct importing capabilities from external systems to minimise the effort taken to establish the assets in the system. It also links directly to Aperture Visual database so that all WSMindustrial Asset data can viewed via CAD plans, directly. The asset management system provides asset descriptions and classifications as a means of identifying unique items as well as providing the following asset attribute management data:

·         Condition assessment
·         Warranty or service contract details
·         History of maintenance
·         Diary of future works and inspections
·         Regulatory Compliance assessment
·         Depreciation
·         Installation, commission and decommission details
·         Purchase cost and replacement cost and timeframe
·         Asset cost of current and ongoing ownership

The system ensures that all equipment, room layouts, catering and security options can be managed and provides extensive cost recovery capabilities for these services. The system caters for recurring bookings, one-off meeting bookings and video conferencing. The locations that are to be bookable by the system can be defined and configured to suit by the user and with minimal central administration interference. The flexible design has allowed this system to be used in both corporate environments and in teaching environments and it ensures the effective scheduling of scarce room resources and also effectively analyse the room usage over time.

 

Expense and Utility Management

Expense Management

WSMindustrial now makes it easier to manage expenses that are not a direct result of work and apportion these to locations and assets in a flexible manner. This then allows the true cost of an assets performance to be gauged and managed. These expenses can be pro-rated over the locations using per sqm or per head criteria to give cost reporting right down to the room level if desired. Expense Types that are to be managed are defined by you to the system so the system truly reflect your environment as you grow and your business needs change. 

Utility Management

As well as managing expenses, WSMindustrial Utility Supply Contracts can be created to represent any Metered or Duration contract, which will attract regular expenses. Utility Contracts (Gas, Power, etc), ISP Contracts, Rental Agreements etc can be represented in this way. Expenses can be recorded against the specific Meter Contract.  This allows the energy usage and environmental conservation aspects of the properties performance to be effectively managed and used in benchmarking costs and performance of sustainability guidelines.  The System Administrator can define Meter Contract Types relevant to your organisation so they reflect your organisation's priorities and goals.

 

Property Management

In providing spatial and FM systems to the Australian industry, FMI have been exposed to the Property Ownership and Lease management aspect and have found many organisation run this money and time critical operational aspect from spreadsheet based data. This is a high risk financial area for most companies as they need the occupation of appropriate premises for the delivery of the core business to their clients.  WSMindustrial Property System provides the capability of managing all aspects of medium to very large property portfolios.  The WSMindustrial Property System has the capability of managing ALL critical dates for any property. In doing this is provides automatic reports on weekly and monthly due dates, and as well real time inquiry on all aspects of those critical events. This management of dates is critical and can have significant savings when key dates are met and no penalties are incurred. The system provides email and SMS reminders to key personnel prior to the event and importantly allows the system to be kept current by very simplified but controlled access property data. No more struggling with spreadsheets in this critical area of managing your one of you companies key assets. 

 

Budget management

At the moment many FM managers spend countless hours with data extracts from accounting systems and the ubiquitous Excel spreadsheet to set and manage their budgets. This happens when monitoring the progress year-to-date (YTD) or in planning for next years budget, and as anyone knows who has done it, it can be a frustrating and tedious time. WSMindustrial will allow budgets to be defined in operational terms and allocated across sites and also by discipline. Use of these budgets by work managed in WSMindustrial is automatically depleted as time goes by, thus always showing the YTD position again by site and by discipline.

 

WSMPlannet

FMI has introduced web portal application, WSMplannet, to the WSMindustrial product suite. In doing so it brings a modern technology that over time will reshape the way that FM and property information and functions are utilized by the rest of the organisation.  WSMplannet has been developed using the latest technology for low impact deployment at the desktop and via the web browser. WSMplannet brings addition user functionality to the workplace over and above the WSMindustrial system. The self serve nature of the portal currently provides:

Room Event Management

WSMindustrial includes the Room Event Management module. This module provides a booking system that allows a comprehensive online room and equipment management system.  As its name Room Event Management (REM) Implies it provides extensive capabilities on booking catering, equipment and services as well as managing the costs associated with the use of these resources.  Rooms and equipment can be booked directly via a users request or central room booking personnel can be employed. Whatever the method of booking rooms the database can never be double booked.
